Refund & Cancellation Policy
This policy says what we refund, what we do not, how you cancel, and what happens to your books afterwards. It is written in numbers rather than reassurances, because a refund policy you have to interpret is not one. It forms part of the Terms of Service and applies to every subscription, add-on and credit purchase made at railit.ai.
The short version
01 Who you are buying from
Railit is operated and sold by JOIN FUTURE SOLUTIONS, LLC, a limited liability company registered in the State of Delaware, United States. That company is the merchant of record: it is the name that appears on your card statement, it issues the invoices, and it is the party that owes you a refund under this policy.

“We”, “us” and “Railit” in this document all mean that company. “You” means the person or business that holds the Railit workspace being billed.
02 What you are buying
Railit is accounting software, delivered over the web, with an AI agent that reads your ledger, prepares entries and documents, and waits for you to approve them. It is sold as a monthly or annual subscription per workspace, with optional add-ons. There is nothing to install and nothing is shipped, so no part of this policy is about goods, delivery or postage.

Currency. Your card is charged in US dollars. The dinar figures in brackets are the list price we quote in Bahrain, at the pegged rate of BHD 0.376 to USD 1; they are the price we set, not a conversion performed at the moment of charge. Your bank may apply its own conversion and fees on a US dollar charge — see section 7.
What every plan includes
Invoicing, quotations, expenses, bills, payments, banking, the general ledger and chart of accounts, VAT-aware reporting, customers and vendors, employees and payroll, contracts, inventory, point of sale and forms — with double entry, an audit trail, PDF documents, spreadsheet export, transactional email at no extra cost, long-lived API tokens, and the MCP server that lets an AI client you already pay for read the workspace.
What is not included
- Starter has no AI credits at all. The in-app agent, the Telegram agent and the WhatsApp add-on are not available on it. A workspace that wants the agent needs Pro or Business.
- Accounting advice, audit, and tax filing. Railit keeps the books; it is not an accountant, not an auditor, and it signs nothing.
- Bookkeeping done for you by a person, data-entry services, migration of your old system, or custom development.
- Priority support, which is part of Business only.
- Guaranteed data residency in Bahrain. Railit runs in the European Union — see section 11.
Add-ons and credit packs
- +20,000 AI credits a month — USD 4 / month (BHD 1.500).
- +40,000 AI credits a month — USD 8 / month (BHD 3.000).
- WhatsApp assistant — USD 11 / month (BHD 4.000), including a number and 1,000 messages a month. WhatsApp turns spend the plan's own AI credits; the add-on does not carry a separate AI budget. Available on Pro and Business only.
- One-off credit packs, bought when you want them and never expiring: 25,000 credits for USD 5 (BHD 2.000), 75,000 for USD 13 (BHD 5.000), 200,000 for USD 32 (BHD 12.000).
Add-ons renew with the subscription and are cancelled the same way. AI credits included with a plan are a monthly allowance: they reset at the start of each billing period and do not roll over. Credits bought in a one-off pack do not expire and are used only after the monthly allowance is exhausted.
Paying annually
An annual subscription is billed for 10 months instead of 12 — two months free — as one payment covering the whole year, taken up front. That is USD 110 per year on Starter, USD 320 per year on Pro and USD 480 per year on Business, plus USD 30, USD 40 or USD 50 per year for each user beyond the number included. The figure charged is the yearly one, not a monthly instalment. The reduced first month is a monthly-only offer and is not applied on top of the annual discount.
03 The free trial
Every new workspace gets 30 days free. The trial is the whole product: every feature of the top tier, as many users as you want, and 15,000 AI credits — roughly 300 questions, or 250 documents read and entered. It is free of charge, and nothing is owed for it.
No card is required to start the trial, and we do not ask for one during it. Because we hold no card, the trial cannot and does not convert into a paid subscription automatically. Nothing is charged unless you choose a plan yourself and enter card details on Stripe's checkout page.
At the end of day 10, if you have not chosen a plan, the workspace becomes read-only: you can still sign in, read everything and export it, but new entries and changes are blocked until a plan is started. Nothing is deleted at that moment — see section 10 for how long an unconverted trial workspace is kept.
We may offer 50% off the first monthly invoice of the plan we recommend when a trial ends. It is an offer, not a charge: it takes effect only if you accept it and start that plan. It applies to monthly billing only, because annual is already discounted.
04 Automatic renewal
Railit subscriptions renew automatically. A monthly plan renews every month, and an annual plan every 12 months, on the anniversary of the day you subscribed, charged to the card on file, until you cancel. This is stated on the pricing section of the homepage and on Stripe's checkout page before any card details are entered, as well as here.
- The renewal date is shown on your Billing page in the app at all times, alongside what the next invoice will be.
- A reduced first month applies to the first invoice only. Every renewal after it is at the list price for the plan, the users and the add-ons you have then.
- Adding or removing users mid-period is prorated by Stripe: you are charged or credited the part of the period that remains, at the plan's per-user price.
- Seats are billed on the greater of the users you have and the seats you bought. Filling a seat you already pay for costs nothing.
- If a renewal payment fails, the workspace keeps working for 12 days while the card is retried. After that, writing is blocked until the payment succeeds; reading and exporting stay open.
You can stop the next renewal at any moment, and there is no minimum term. See section 8.
05 The refund window
The refund window is 14 days from the date of the charge. That is a calendar 14 days, counted from the day the payment was taken, not from the day an invoice was issued or read. It applies to the first payment on a new subscription and, separately, to each renewal after it.
What is refundable
- Your first payment on a new subscription, in full, within 14 days, for any reason at all — including no reason.
- A renewal you did not mean to pay, in full, within 14 days of that charge. Monthly or annual, and whether the renewal was overlooked or simply unwanted.
- Any charge that was our error — a double charge, a plan or add-on you did not select, a cancellation we failed to action in time — in full, whenever we or you find it, with no 14-day limit.
- An add-on, on the same 14-day terms as the plan it sits on. The WhatsApp add-on is refundable for the period charged if no messages were sent from the number in that period.
- A one-off credit pack, in full, within 14 days — provided none of that pack's credits have been spent.
- An extended outage. If Railit is unavailable for more than 24 consecutive hours through our fault, we refund the affected month in full on request, whenever it happened.
AI credits already spent
If you are refunded for a period in which AI credits from that period's allowance were spent, we deduct what was used at the published credit rate — USD 0.0002 per credit, that is 5,000 credits per US dollar — and refund the rest. Spending the entire monthly allowance of a Pro plan therefore reduces a USD 32 refund by USD 4. Nothing else is deducted: no handling fee, no restocking fee, no charge for the days you used the software.
06 What is not refundable
We would rather tell you this before you buy than after you ask.
- A charge more than 14 days old, other than the two exceptions above — our error, and an extended outage.
- The unused remainder of a period you cancel. Cancel a monthly plan on day 3 and you keep the software for the rest of that month; we do not refund the other 27 days. The same applies to the remaining months of an annual plan cancelled after the 14 days.
- A credit pack once any of its credits have been spent. Bought credits never expire, so they stay usable for as long as the workspace is open.
- The AI credits themselves, once consumed — including credits spent by an agent doing exactly what it was asked to do.
- WhatsApp messages already sent from a number provided under the add-on.
- Charges on a workspace we suspend or close for breach of the Terms of Service — for example unlawful use, or an attempt to break the separation between one customer's data and another's.
- Your bank's currency conversion or foreign transaction fees. We refund the exact US dollar amount we charged. What that becomes in dinars depends on your bank's rate on the day, and the difference is not something we can return.
Nothing in this section removes a right you have under the law that applies to you as a consumer. Where local consumer law gives you more than this policy does, the law wins.
07 How to ask for a refund
Email [email protected] from an email address that belongs to an owner or administrator of the workspace. There is no form to fill in. Tell us:
- the workspace name;
- the invoice number, or the date and amount of the charge; and
- one line on what happened — useful to us, and never a condition of the refund inside the 14 days.
What happens then. We decide, and if the refund is due we submit it to Stripe, within 5 business days of receiving your request. If we refuse, you get the reason in writing in the same 5 business days.
- Refunds go back to the original card, in US dollars, for the amount we charged. We cannot pay a refund to a different card, a bank account or a wallet.
- If any tax was charged on the invoice, it is refunded with it.
- Once submitted, card issuers typically take a further 5 to 10 business days to show the money on the account. That part is the bank's, not ours; we can send you Stripe's confirmation of the refund the moment it is made.
- A refund of a subscription charge cancels that subscription unless you ask us to keep it running.
08 How to cancel
You can cancel at any time. There is no minimum term, no notice period, no cancellation fee, and nobody to talk out of it. Two ways, both of which do the same thing:
In the app — the fastest way
- Sign in at railit.ai/app as an owner of the workspace.
- Open Billing.
- Press Manage billing. That opens Stripe's secure billing portal, in your own browser session.
- Choose Cancel plan, and confirm.
The Billing page then shows the date your access ends, and no further payment is taken. You can also change your card, download every past invoice and restart a plan from the same portal.
By email
Send “cancel my subscription” and the workspace name to [email protected], from an email address that belongs to an owner or administrator of that workspace. We do it for you and reply confirming the date access ends.
Timing. Cancelling in the app is registered the moment you confirm it, at any hour — the next renewal is stopped there and then, while your access runs on to the end of the period you have paid for (section 9). For an emailed cancellation, send it at least 2 business days before your renewal date and it will be actioned before that renewal. If a renewal is charged after you asked us to cancel, that charge is refunded in full under section 5 — it is our error, and the 14 days do not limit it.
Cancelling the subscription cancels its add-ons at the same time. Cancelling is not the same as deleting: if you want the workspace and its data erased sooner than section 10 provides for, ask us and we will do it.
09 The rest of the paid period
Cancelling does not switch anything off that day. You have paid to the end of the current period, so you keep the whole of it: every feature, every user, the agent and the credits still in the month's allowance, exactly as before. A monthly plan cancelled on the 3rd runs to the 30th. An annual plan cancelled in month two runs to the end of month twelve.
On the last day of that period the subscription ends. No further payment is taken, and the workspace becomes read-only: you can sign in, read everything, run every report and export it all — you simply cannot post new entries. That is deliberate. A company that stops paying should still be able to get its own books out.
Change your mind before the period ends and you can restart the plan from the Billing page; nothing was lost in the meantime. Restart after it, and the workspace is reopened as it was, provided it is within the retention window in section 10.
10 Your data after cancellation
Your books are yours. Cancellation does not transfer them to us and does not entitle us to keep them longer than we say here.
- For 30 days after the paid period ends, the workspace stays open in read-only form. Sign in and take everything you want: registers export on request in a machine-readable form within 30 days, and every document — invoice, quotation, bill, payslip, statement, report — renders to a PDF you keep.
- Within 90 days of the end of the paid period, the workspace and its contents are permanently deleted from our production systems, and from backups on their own rolling schedule. Deleted means deleted; there is no archive we quietly retain.
- Sooner, if you ask. Email us and we will delete the workspace immediately rather than waiting out the 90 days.
- What we keep either way: the invoices, receipts and payment records of what you paid us, and the account record behind them. Those are our own accounting and tax records and we are required to hold them. They contain billing details, not your ledger.
An unconverted trial workspace is treated the same way, counted from the last day of the trial.
How that data is handled while you are a customer — including your rights of access, correction, portability and erasure — is set out in the Privacy Policy.
11 Card details and security
We never see or store your card. Card details are entered on payment fields hosted by Stripe — on Stripe's checkout page and in Stripe's billing portal — and go straight to Stripe. Railit receives a token, the last four digits and the expiry date, which is what the Billing page shows you. There is no card number in our database to lose. Stripe is certified as a PCI DSS Level 1 service provider; Railit itself holds no certification of any kind, and does not claim one.
Where the service runs. Railit is hosted on Amazon Web Services in Europe (Frankfurt), region eu-central-1. The ledger data in a Railit workspace is stored and processed in the European Union — in Germany, not in Bahrain, and the honest answer to “is my data in Bahrain?” is no. If residency inside Bahrain is a requirement for your business, tell us before you subscribe rather than after.
Traffic between your browser and Railit runs over HTTPS with TLS, and stored data and backups are encrypted at rest. Because the processing takes place in the EU, the GDPR applies to it; because our customers are mainly in Bahrain, Bahrain's Personal Data Protection Law is engaged as well. Both are addressed in the Privacy Policy.
Who else touches the data. Three sub-processors, named here as well as in the Privacy Policy: Stripe for payments, Amazon Web Services for hosting and storage, and OpenAI for the AI agent — ledger data is sent to OpenAI when the agent answers a question about it or reads a document you give it.
12 Disputes and chargebacks
If a charge looks wrong, email us first. A refund we make ourselves reaches you faster than a chargeback, and the 14-day window in section 5 is wide enough that you rarely need one.
You keep every right you have with your card issuer, and we will not penalise you for using them. But a chargeback filed while the same charge is being refunded can freeze both, so tell us if you have opened one. A workspace with an unpaid chargeback may be suspended until the amount is settled.
13 Price and policy changes
We can change our prices, and this policy, for the future. We will not change them retroactively.
- A price change on a subscription you already hold is announced by email at least 30 days before it takes effect, and never applies inside a period you have already paid for. If you do not want the new price, cancel before it starts.
- A change to this policy applies to charges made after the “last updated” date at the top of the page. The version that applies to a payment is the one published on the day that payment was taken.
14 Which law applies
This policy and the Terms of Service are governed by the laws of the State of Delaware, United States, and disputes that cannot be settled between us belong to the courts of Delaware. That is where the company selling you the software is registered.
If the consumer protection law of the country you live in gives you rights that this cannot take away, it does not take them away.
15 How to reach us
Two ways, both of which reach a person. Refunds, cancellations, and anything else about billing all go to the same address.
